Instructions for Invited Session Submissions

Invited sessions are sessions proposed for the regular technical program consisting of presentations of papers and extended abstracts on a shared topic or theme. 

The process for invited sessions is as follows:

  1. The invited session organizer prepares and submits a brief, one-page summary of the proposed session, outlining the session topic, providing contact information for the session organizer, and listing at least four contributions (papers and extended abstracts) to be included in the session. The session summary should list the corresponding author along with her/his e-mail address and the title or tentative title of each contribution. Invited session summaries should be submitted on EDAS. The deadline for session proposals is the same as the deadline for paper and abstract submissions. The conference organizers will get in touch with the session organizer with questions and/or confirmation. Invited session organizers can update their session summary as needed until the submission deadline.
  2. The authors of the contributions should upload their papers independently following the full paper and extended abstract submission instructions. These contributions should be submitted to the “Other” track in EDAS.
  3. The papers and abstracts submitted as part of the invited session will be reviewed independently. Session acceptance will be based on review results and other technical program considerations. If necessary, accepted contributions from the general submission pool in the same topical area will be included to complete the session. The session organizer or designee will be invited to chair the session, if accepted. 
  4. In case the session itself is not accepted (e.g., if most of the session papers/abstracts are rejected), the accepted contributions will still be included in the program and may be distributed across different sessions.
  5. The session organizer will be informed of the disposition of the proposed invited session within two weeks of the author notification date. 

As an encouragement for invited sessions, if an invited session is accepted, corresponding authors of accepted invited-session contributions as well as the session organizer will be eligible for a 15% discount on the registration fee.
